The following article will walk you through how to connect your Outlook 365 to your ActiveIQ software account. Once connected, ActiveIQ’s software will report when your prospects open your email or access an attached document. It will also notify you when they click on a URL link in your email that navigates to your website. You will also be notified by email when your assigned prospects in ActiveIQ return to your website in the future.
Here's a quick overview of how it works:
-
You write an email in Outlook.
- Add your prospect's email address in the 'to' field.
- Click the ActiveIQ icon in the Compose window to enable/disable tracking or add a document or URL link to be tracked.
- Send the email.
- The recipient opens the email.
- ActiveIQ records the contact's name, email address, and the email subject they opened and starts tracking the recipient's activity.
This is a great way to get more information about what existing clients or prospects are interested in. It will also increase the number of leads that ActiveIQ has contact information for. You'll automatically get email notifications when a prospect assigned to you shows interest and interacts with the email.
Contact and prospect activity information is stored in your ActiveIQ account under the prospect activity details available on multiple screens in the ActiveIQ software.
Installation
1. Click the following link to download the installation file. This is an XML file that you will need to install the ActiveIQ add-in in Outlook. Save the file in an easy-to-find folder (like the Desktop).
Download the installation file here
2. In your main Outlook window, navigate to “All Apps” and then click“Get Add-ins”
3. Click “My add-ins” on the left side and scroll down to the bottom of the pop-up. In the “Custom Addins” section, click “Add a custom add-in” and select the “Add from File…” option.
4. Select the XML file you downloaded in Step 1 and click on “Install.”
5. Confirm you have installed the add-in correctly (it should be showing under the Custom Addins. section).
6. You can now safely delete the XML installation file you downloaded in Step 1.
How To Use
Once the add-in is installed, it's ready to use. You should see an ActiveIQ icon in the compose window of any new emails you create.
How to Log in
Click the "Login" button in the ribbon when on a "New Email" screen. Enter your ActiveIQ username and password. You will only need to do this once - your login information will be remembered for next time.
Email support@activeiq.co if you have any problems remembering your password.
Enabling/disabling email tracking
To enable or disable tracking, click the Enable/Disable button in your ribbon. This function turns the tracking on or off. The setting you used last time you sent an email will be saved, so if you previously sent an email with ActiveIQ tracking enabled, it will still be enabled the next time you compose an email.
If you're not sure if tracking is enabled, click the "Enable/Disable" button, and the status will appear near the top of the email composition window.
Tracking Documents
The track document feature is ideal for salespeople who want more insight into who is viewing sales proposals or collateral being sent.
To track a document, click the location in the email where you'd like a link to your document to appear.
Then click the "Upload File" button on the ribbon. You can either drag and drop a file to the pop-up that appears on the right-hand side of the screen or click on the upload area to select the file to upload.
Your selected file will be uploaded to ActiveIQ, and a tracking link will be inserted into your email. When the message is sent, your recipient will click the link to download the sent file. If ActiveIQ has previously identified them, they will download the file directly. Otherwise, it will ask for their email address before downloading.
Any clicks of the tracking links, or downloads of this file, will be tracked in ActiveIQ under the lead's profile.
Tracking Links Clicks
ActiveIQ also tracks clicks from other web links within your email content. To track a link click, you will need to highlight the link and click the link (chain) icon in your message before the email is sent.
Text links are not tracked. This gives you control over which link clicks are tracked in ActiveIQ and which do not contribute to your lead profile and scoring.
